Home' Publications : Boarding House Guidelines 2017 Contents Leave Procedures
The Boarding House has a responsibility to ensure the safety and
security of all boarders in our care. It is important to emphasise
that the whole process of allowing your son/daughter leave from
our boarding community involves trust. The Boarding staff trust
the boarders in their care to supply them with accurate
information about leave and they are expected to do what has
been approved while on leave. If at any stage there is a breach of
this trust relating to leave, the privilege of having leave may be
withdrawn by the Head of Boarding or the staff member on duty.
Leave falls into three different categories: local leave,
weekday leave and weekend leave.
This involves leave in the local area and does not include overnight
absences. Duty staff can approve local leave. Unless prior approval
has been obtained from the Head of Boarding, local leave does
not include scheduled meal times. Students must return to the
Boarding House by 5:15pm during the winter terms and 5:45pm in
the summer months.
Year 6 - 10 students are permitted two mid-week local leaves per
week. Year 6 and 7 students must always to be accompanied by a
tutor on duty or a TCE student. For Year 8 students, there must be
a minimum of three in the group unless in the company of a senior
student. Year 9 students can leave the House with one other student.
Seniors are permitted local leave on any school afternoon and on

under the supervision of a parent who is willing to assume full
In general, this leave will only be granted if it is with a family member,
for a school function, a Boarding House excursion or for a recognised
sport. You need to be aware that you will not be able to leave the
Boarding House during normal meal times, as duty staff are required
to supervise the dining hall. Mid-week leave must be approved by the
Head of Boarding or the senior staff member on duty.
This includes overnight or evening leave. These types of leave
are approved by the Head of Boarding. Parental permission must
be given for each overnight leave, unless you are being collected
and returned by a parent or guardian.
Weekend leave may commence from the end of the school day on
a Friday. We strongly encourage the return of boarders to the
house by 8:00pm on Sunday evening at the latest, except where
public transport prevents this. The aim being to allow boarders time
to settle and adequately prepare for classes the following day.
Arranging Weekend Leave
The following procedures are to be followed to arrange

with the boarder;

submitted no later than Wednesday evening prior to the

approved by staff and parents. Leave is only granted when
both parents and boarding staff have granted approval for the

make sure their son/daughter will be fully supervised and cared
for whilst on leave.
The Head of Boarding reserves the right not to grant leave if
they are not satisfied that all details have been completed, or if
parental permission has not been received in writing. The Head
of Boarding may also refuse leave if the behaviour of the
student within the Boarding House or at the College does not

Early Morning Leave
The Boarding House has a security system which will enable
individual students to exit from the house via means of a PIN code
which temporarily disarms the security alarm on the door. Senior
students, participating in College approved early morning sporting
commitments are able to apply for access to an individual PIN
code. The overnight staff are responsible for signing out and
exiting of Middle School boarders who need to leave the house,
before 6:45am, for early morning training sessions.
Approximately once per term there will be a scheduled exeat
weekend where all boarders are expected to go home. Following
an exeat weekend the Boarding House will re-open at 4:00pm
Monday. All boarders are expected to return to the Boarding
House by 8:00pm, except where public transport prevents this.
The Boarding House is closed during all school holidays as of
